SPX  Receptionist/HR Assistant

 Job Summary 

 This position is responsible for providing administrative/receptionist support to the Corporate Flow Technology Segment and other individuals inside and outside the corporation as needed. Performs diversified and confidential administrative/receptionist duties. Performs a variety of tasks and works under general supervision.  A degree of creativity, latitude and judgment is required. 

 Responsibilities 

 " Responsible for incoming phone calls for the reception desk.

" Teams with Executive/Administrative Assistants to maintain smooth office routine and meet necessary deadlines.

" Assists HR team with preparation and maintenance of standard reports and data including organization charts, headcount reports, etc.

" Consolidates metrics reports from divisions for monthly reporting purposes.

" Prepares confidential and general work. Effectively communicates verbally and in writing with all levels of management.

" Receives all mail for the Segment and sorts and delivers as appropriate.

" Screens phone calls, visitors and incoming correspondence; responds and/or transmits messages as appropriate; summarizes contents of incoming material.

" Coordinates and arranges meetings, prepares agendas and reserves facilities.

" Schedule candidates for interviews.

" Arranges travel (domestic and international), hotel and other reservations.

" Prepares expense reports using Concur.

" Responsible for the ordering and maintenance of the supply rooms.

" Tracks schedules. 

QUALIFICATIONS

 " Highly confidential.  Must have high degree of integrity, discretion and judgment.

" Demonstrated experience interpreting company policy / procedures and organizational structure.

" Must have the ability to manage diverse volume of work and manage appropriate priorities which involve a high frequency of change.

" Exceptional attention to detail, accuracy, and professionalism.

" Effectively communicate verbally and in writing with all levels of management.

" Previous experience with handling a wide variety of situations in support of an executive office.

" Strong computer skills including expertise in Microsoft Word, Excel, PowerPoint and Lotus Notes.  Ability to quickly develop proficiency in new programs.

" Good interaction skills to minimize Leadership Teams involvement in administering daily and routine activities.

" Strong interpersonal skills.

" Excellent grammar, spelling and editing skills.

" Highly confidential.  Must have high degree of integrity, discretion and judgment.

" Project management skills.  Able to balance multiple projects in an unsupervised environment.

"  Polished professional communication skills and personal presentation.

" Able to remain extremely professional, composed and competent in multi-task, rapid change environment.

" Must be highly motivated with very strong self-direction and initiative.

EDUCATION AND EXPERIENCE

" Bachelors degree in Human Resources or related field or equivalent mix of education and work experience in Human Resources Administration or as an Administrative Assistant to HR within a corporate environment.
